Job Description

School Receptionist Location Highland, CA : Under the direction of the Manager, Administration & Operations, the School Receptionist is the first point of contact for the school and Education Department and is responsible for creating a positive first impression for all visitors and callers while managing front desk operations and providing administrative support to ensure smooth school and department operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES 1. Reception Support

  • Interacts with parents, students, staff, and visitors ensuring a positive first impression.
  • Responds to inquiries and escalates as appropriate.
  • Manages incoming calls, routes them when appropriate, and take messages when necessary.
  • Requests gate clearances, issues visitor badges, and ensures visitors remain in designated waiting areas until received by the appropriate party.
  • Keeps accurate records of visitor logs, appointments, and other relevant information.
2. Administrative Support
  • Assist with various administrative tasks such as scheduling appointments, managing calendars, and handling correspondence.
  • Supports with vehicle processes, Infinite Campus, department meetings, cumulative school files, and communication processes.
  • Assists with mail processing and providing support to the department's administrative team.
  • Ensures all incoming and outgoing packages and mail are logged and that intended recipients are notified promptly per established procedures. Ensures that the logs are completed, and proper signatures are obtained.
3. Meeting and Break Room Support
  • Manages the department's meeting room reservation process by responding to room reservation requests, identifying and resolving any conflicts, and recording scheduled meetings on all calendars.
  • Ensures that requested beverage service and snacks are set-up within policy as requested for scheduled meetings and replenished as necessary for all Education hosted meetings.
  • Maintains adequate inventory of paper goods, utensils, and condiments (creamer, sugar, etc.) in the break rooms.
  • Maintains conference room supply inventories including supplies and snacks for meetings.
  • Provides adequate advance notice when re-ordering needs to occur to replenish and maintain established inventory levels.
4. Performs other duties as assigned to support the efficient operation of the department.

EDUCATION, EXPERIENCE AND QUALIFICATIONS

  • High school diploma or GED required.

  • Minimum three (3) years experience working in a front office setting at a school site or district office.

KNOWLEDGE, SKILLS AND ABILITIES (KSA)

  • Must be willing and capable to learn the Serrano language.

  • Excellent organization, time management and follow-up skills; high sense of urgency; demonstrated ability to successfully handle multiple projects concurrently; ability to work as a team is required.

  • Ability to communicate and write professionally and interact with diverse audiences with a welcoming, helpful, courteous, and professional demeanor is required.

  • Basic computer skills and comprehension of appropriate software packages such as Outlook, Word, and Excel is required.

LICENSES, CERTIFICATIONS AND REGISTRATIONS

  • As a condition of employment, candidates and incumbents are required to pass pre- and post-employment screening including Live-Scan, background, drug testing, and tuberculosis (TB) testing.

  • No Driving Responsibilities: Role does not require a driver's license or insurance.

PHYSICAL REQUIREMENTS/ WORKING CONDITIONS - ENVIRONMENT

  • Primary work environment is in a climate-controlled office setting.

  • Work requires travel to attend meetings, trade shows, and conferences.

  • Incumbents may be required to work evening, weekend and holiday shifts.

  • Must be able to work in a fast-paced, high-demand environment.

  • Strength sufficient to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects and/or move up to 40 pounds occasionally.

  • Sedentary work: involves sitting most of the time. Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.

  • Physical activities that apply to the essential functions of the position are balancing, stooping, kneeling, crouching, reaching, pushing, pulling, lifting, grasping, talking, hearing, and repetitive motions.

  • Hearing sufficient to hear conversational levels in person, via videoconference and over the telephone.

  • Speech sufficient to make oneself heard and understood in person, in front of groups, in meetings, via videoconference and over the telephone.

  • Visual acuity that meets the requirements of the position: The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; expansive reading and visual inspection of employees, visitors or facility.

  • Mobility sufficient to safely move in an office environment, walk, stoop, bend and kneel, and enter, exit and operate a motor vehicle in the course of travel to promotional events, meetings, conferences, trade shows and San Manuel properties.

  • Endurance sufficient to sit, walk and stand for extended periods, and maintain efficiency throughout the entire work shift and during extended work hours.

  • The employee may be exposed to fumes or airborne particles including secondhand smoke.
